This English version of the Privacy Policy is provided for reference purposes only. In the event of any inconsistency, discrepancy, or difference in interpretation between the English version and the original Japanese version, the Japanese version shall prevail in all respects.

PropTech Japan Co., Ltd. (hereinafter referred to as "the Company") establishes the following Privacy Policy (hereinafter referred to as "this Policy") regarding the handling of users' personal information in connection with the RentEase service (hereinafter referred to as "this Service," including both the website and mobile application) provided by the Company.

1. Definition of Personal Information

In this Policy, "personal information" refers to personal information as defined in Article 2, Paragraph 1 of the Act on the Protection of Personal Information of Japan, namely, information about a living individual that can identify a specific individual by name, date of birth, or other descriptions contained in such information (including information that can be easily matched with other information, thereby enabling the identification of a specific individual), or information that contains personal identification codes.

2. Method of Collecting Personal Information

The Company collects personal information by lawful and fair means. The primary methods of collection include directly obtaining information from users when they register to use this Service (via the website or app) or fill out inquiry forms, automatically collecting information in connection with the use of this Service, and collecting information through the use of cookies or similar technologies.

3. Items of Personal Information to be Collected

The Company collects personal information from customers to the extent necessary for the provision and operation of the Service. This includes basic information required for identity verification and communication, information related to payments, and information regarding the use of the Service. Payment-related information (such as credit card information) is securely stored in accordance with the international security standard, PCI DSS (Payment Card Industry Data Security Standard).
Furthermore, for the purpose of improving the Service and preventing unauthorized use, the Company may, with the customer’s consent, collect technical information such as device information and location information.
The Company will handle such personal information only within the scope of the purposes specified in this Policy.

4. Purposes of Use

  • The Company will use the collected personal information for the following purposes. If the Company intends to use the information for purposes other than those listed below, it will obtain the user’s prior consent.
  • 1. To provide, maintain, and improve this Service.
  • 2. To respond to inquiries from users.
  • 3. To provide important notifications regarding this Service.
  • 4. To address actions that violate the Terms of Service.
  • 5. To create statistical information related to the Company’s services.
  • 6. To verify the identity of users.
  • 7. To deliver advertisements and measure their effectiveness.
  • 8. To develop new services and conduct marketing activities.

5. Security Management of Personal Information

To ensure the accuracy and safety of personal information, the Company complies with relevant laws, regulations, and guidelines, and takes all possible security measures. Specifically, the following measures are implemented:

  • 1. Access to personal information is restricted to authorized employees only, to the extent necessary for their duties.
  • 2. SSL (Secure Socket Layer) technology is used to encrypt data transmitted from users to the Company's servers, thereby ensuring the security of personal information during transmission.
  • 3. For credit card information, a dedicated payment system compliant with PCI DSS is used, and the information is securely processed and stored in encrypted form.

  • 6. When the handling of all or part of personal information is outsourced, the Company exercises necessary and appropriate supervision to ensure that the contractor manages personal information securely.

The Company takes necessary and appropriate measures in compliance with relevant laws, regulations, guidelines, etc., to ensure the safe management of user information against risks such as loss, destruction, or leakage of personal information.

6. Provision of Personal Information to Third Parties

  • The Company will not provide personal information to third parties except in the following cases:
  • 1. When the user has given consent.
  • 2. When required by laws and regulations.
  • 3. When it is necessary for the protection of a person's life, body, or property, and it is difficult to obtain the consent of the individual.
  • 4. When it is particularly necessary for the improvement of public health or the promotion of the sound upbringing of children, and it is difficult to obtain the consent of the individual.
  • 5. When it is necessary to cooperate with a national government agency, local government, or a party entrusted by either of the foregoing to carry out duties prescribed by laws and regulations, and obtaining the consent of the individual is likely to impede the execution of such duties.

7. Use of Cookies

The Company may use cookies, mobile device IDs, and other similar technologies to improve user convenience. While these technologies enable the identification of a user's device, they do not personally identify the user. Users can restrict the use of these technologies through their browser or device settings; however, doing so may result in some service functions becoming unavailable.

8. Use of Google Analytics

The Company uses analytical tools such as Google Analytics to understand the usage status of this Service. These tools use cookies or similar technologies to collect data on the user's use of this Service. Users can refuse the collection of data by disabling cookies or through other methods, so please review the settings of your browser or device. For the terms of service and privacy policies of each tool, please refer to their respective websites.

9. Use of Third-Party Modules

For purposes such as improving the quality of this Service, analyzing usage status, and measuring advertising effectiveness, the Company uses modules provided by third parties (such as Adjust and Meta advertising tools). The handling of information collected through these modules is governed by the privacy policies of the respective providers.

The Company will not use information obtained through third-party modules for the purpose of identifying individuals.

10. Outsourcing of Operations

The Company may outsource part of its operations related to the operation of this Service or the handling of personal information to specialized third parties. These outsourced parties are selected based on strict criteria established by the Company and are contractually obligated to ensure the proper management and confidentiality of personal information. The Company periodically supervises the status of the outsourced parties’ performance of operations and provides guidance for improvement as necessary.

11. User Rights

  • Users have the following rights regarding their personal information held by the Company:
  • 1. Right to Request Notification of Purpose of Use: The right to request notification of the purpose of use of one's personal information held by the Company.
  • 2. Right to Request Disclosure: The right to request disclosure of one's personal information held by the Company.
  • 3. Right to Request Correction, Addition, or Deletion: The right to request the correction, addition, or deletion of personal information if the content of the personal information is not factual.
  • 4. Right to Request Suspension of Use or Erasure: The right to request the suspension of use or erasure of personal information if it is being handled beyond the intended purpose of use, or if it was collected by improper means.
  • 5. Right to Request Suspension of Provision to Third Parties: The right to request the suspension of the provision of personal information if it is being provided to a third party.

Please note that personal information held in accordance with laws and regulations may not be subject to these rights.

  • 6. Procedures for Requesting Disclosure, etc.
    If a user wishes to request the Company for notification of the purpose of use, disclosure, correction, suspension of use, deletion, or suspension of provision to third parties regarding their personal information, please make a request following the procedures below:
  • ① Contact: Please send an email to the Sales Department (jyohoukaiji@proptechjapan.co.jp) clearly stating “Request for Disclosure of Personal Information” in the subject line.
  • ② Required Information: Please clearly state your name, address, date of birth, contact email address, and the specific details of your request.
  • ③ Verification of Identity of the Individual or Agent: For identity verification, please submit a copy of a photo ID such as a driver's license or passport. In the case of a request by an agent, in addition to the above, please also submit a power of attorney and a copy of the individual's ID.
  • ④ Fees: A fee of 500 yen will be charged only for Requests for Notification of Purpose of Use and Requests for Disclosure (other requests, such as requests for corrections or deletions, are free of charge). The payment method will be by credit card, and the details will be provided via email by the Company.
  • ⑤ Response Method: In principle, responses will be sent to the email address provided at the time of application.
  • ⑥ Verification of Authority of Agent: The Company will respond only if it can confirm the agent’s authority based on the documents specified in ③ above.

12. Handling of Consultations and Complaints

The Company will respond appropriately and promptly to consultations and complaints concerning all of its business operations. If you have a consultation or complaint, please reach out to the contact indicated at the end of this Policy.
Furthermore, the Company may, when necessary and with the consent of the individual, consult with external businesses or experts.

13. Disclaimer

  • The Company shall not be liable for the leakage, loss, or damage of the user's personal information in the following cases:
  • 1. If personal information is disclosed or leaked to a third party due to reasons attributable to the user.
  • 2. If the user has not properly managed the information (ID, password, etc.) for logging into this Service.
  • 3. If a third party fraudulently acquires the user's personal information due to reasons not attributable to the Company.
  • 4. If the user uses this Service in violation of this Policy and the Terms of Service. However, this shall not apply in cases of willful misconduct or gross negligence on the part of the Company.
  • However, this does not apply in cases where the cause is due to our intentional or gross negligence.

14. Changes to the Privacy Policy

The content of this Policy may be changed as necessary, except for matters otherwise stipulated in laws and regulations or this Policy. The revised Privacy Policy will be posted on this website, and users will be notified separately of any important changes. Unless otherwise specified, the revised Policy shall become effective from the time it is posted on this website.
