Privacy Policy
PropTech Japan Co., Ltd. ("the Company") hereby sets forth the following Privacy Policy ("this Policy") regarding the handling of users' personal information in connection with the services provided by the Company, including RentEase and RE Shopping (collectively, "the Services," including websites and mobile applications).
1. Definition of Personal Information
In this Policy, "personal information" means personal information as defined in Article 2, Paragraph 1 of the Act on the Protection of Personal Information of Japan, namely information relating to a living individual that can identify a specific individual by name, date of birth, or other descriptions contained in such information (including information that can be easily collated with other information and thereby identify a specific individual), or information containing an individual identification code.
2. Methods of Obtaining Personal Information
The Company obtains personal information by lawful and fair means. The main methods are as follows:
1. Information directly provided by users when registering for the Services, placing product orders, making inquiries, or through similar occasions
2. Information automatically obtained in connection with the use of the Services (such as access logs and usage history)
3. Information obtained through cookies, advertising identifiers, mobile device IDs, and other similar technologies
4. Information lawfully provided by payment processors, delivery providers, and other partners necessary for operating the Services
3. Categories of Personal Information Obtained
The Company may obtain customers' personal information to the extent necessary for providing and operating the Services. This includes basic information required for identity verification and communication, information related to payments, and information related to use of the Services. Payment-related information (such as credit card information) is processed through systems of payment service providers that comply with PCI DSS (Payment Card Industry Data Security Standard), an international security standard. As a rule, the Company does not store sensitive payment information such as credit card numbers, expiration dates, or security codes on its own servers.
In addition, for service improvement and prevention of unauthorized use, the Company may, with the customer's consent, obtain technical information such as device information and location information.
The Company handles such personal information only within the scope of the purposes of use set forth in this Policy.
4. Purposes of Use
The Company uses acquired personal information for the following purposes. If the Company intends to use personal information for any purpose other than those listed below, the Company will obtain the user's prior consent.
1. To provide, operate, maintain, and improve the Services, including RentEase and RE Shopping
2. To accept product orders, verify identity, process payments, manage credit, handle deliveries, process returns and exchanges, and provide refunds
3. To process rent payments and related procedures
4. To respond to user inquiries and provide after-sales support
5. To provide important notices regarding the Services
6. To respond to and prevent unauthorized use, fraudulent orders, and fraudulent payments
7. To respond to conduct that violates the terms of use
8. To analyze usage of the Company's services and prepare statistical information
9. To deliver advertisements, measure advertising effectiveness, and conduct marketing analysis
10. To develop new services and conduct marketing activities
11. To comply with laws and regulations
5. Security Control of Personal Information
To ensure the accuracy and security of personal information, the Company complies with applicable laws, regulations, and guidelines and takes thorough security measures. Specifically, the Company implements the following measures:
1. Access to personal information is limited to employees who are authorized only to the extent necessary for their duties.
2. The Company uses SSL (Secure Socket Layer) technology to encrypt data transmitted from users to the Company's servers, thereby ensuring the security of personal information during transmission.
3. For credit card information, the Company uses payment systems of payment service providers compliant with PCI DSS and processes such information securely in encrypted form.
4. The Company maintains an organizational structure and takes measures to prevent unnecessary access.
5. The Company provides regular training to employees on the proper handling of personal information.
6. If all or part of the handling of personal information is outsourced, the Company will conduct necessary and appropriate supervision to ensure secure management by the outsourcee.
The Company takes necessary and appropriate measures in compliance with applicable laws, regulations, and guidelines to ensure safe management of user information against risks such as loss, destruction, or leakage of personal information.
6. Provision of Personal Information to Third Parties
The Company will not provide personal information to third parties except in the following cases:
1. When the user has given consent
2. When required by law
3. When necessary for the protection of the life, body, or property of a person, and it is difficult to obtain the individual's consent
4. When particularly necessary for improving public health or promoting the sound development of children, and it is difficult to obtain the individual's consent
5. When cooperation is necessary with a national government agency, local public entity, or a party entrusted by them to perform duties prescribed by law, and obtaining the individual's consent may impede such performance
6. When personal information is provided, to the extent necessary for providing the Services, to payment processors, delivery providers, fraud detection service providers, or other business partners
7. Use of Cookies
The Company may use cookies, mobile device IDs, and other similar technologies ("Cookies, etc.") to improve user convenience, analyze use of the Services, deliver advertisements, and measure effectiveness.
Information obtained through these technologies may include IP addresses, browsing history, date and time of use, and device information; however, such information alone does not directly identify a specific individual.
The Company may transmit information obtained through Cookies, etc. to third parties such as advertising delivery providers and analytics providers.
Users may restrict or disable the use of Cookies, etc. through browser or device settings. However, in such cases, some functions of the Services may become unavailable.
8. Use of Google Analytics and Similar Tools
The Company uses analytics tools such as Google Analytics to understand usage of the Services. These tools collect data regarding users' use of the Services through cookies and similar technologies.
Information collected by these tools is managed in accordance with the privacy policies of the respective tool providers.
Users may refuse data collection by disabling cookies through browser settings.
9. Third-Party Modules and External Transmission
For purposes such as improving the quality of the Services, analyzing usage, and measuring advertising effectiveness, the Company uses modules provided by third parties (including Adjust, Meta advertising tools, and LINE).
Through these modules, information such as device identifiers, advertising identifiers, and browsing history may be transmitted to the relevant providers.
The handling of information collected through these modules is subject to the privacy policies of the respective providers.
The Company does not use information obtained through third-party modules for the purpose of directly identifying individuals, but may analyze it in combination with other information held by the Company.
10. Outsourcing
The Company may outsource part of the operations related to operation of the Services and handling of personal information to specialized third parties. Such outsourcees are selected based on strict criteria established by the Company and are contractually obligated to ensure proper management and confidentiality of personal information. The Company periodically supervises the status of outsourced operations and provides improvement guidance as necessary.
11. User Rights
Users have the following rights with respect to their personal information held by the Company:
1. Right to request notification of the purpose of use: the right to request notification of the purpose of use of personal information held by the Company
2. Right to request disclosure: the right to request disclosure of personal information held by the Company
3. Right to request correction, addition, or deletion: the right to request correction, addition, or deletion if personal information is inaccurate
4. Right to request suspension of use or erasure: the right to request suspension of use or erasure when personal information is handled beyond the scope of the purpose of use or obtained by improper means
5. Right to request suspension of third-party provision: the right to request suspension when personal information is being provided to a third party
Please note that personal information held pursuant to laws and regulations may be excluded from the scope of these rights.
6. Procedures for requests for disclosure, etc.
If a user wishes to request notification of purpose of use, disclosure, correction, suspension of use, deletion, or suspension of third-party provision regarding personal information, please contact the Company as follows:
① Contact point: Please email the sales department (jyohoukaiji@proptechjapan.co.jp) and clearly state "Request regarding disclosure of personal information, etc."
② Information to be submitted: Please clearly provide your name, address, date of birth, contact email address, and details of the request.
③ Verification of identity of the individual or agent: For identity verification, please submit a copy of a photo ID such as a driver's license or passport. If an agent makes the request, please also submit a power of attorney and a copy of the individual's ID.
④ Fees: A fee of JPY 500 applies only to requests for notification of purpose of use and disclosure (other requests such as correction or deletion are free of charge). The Company will inform you by email of the method of payment by credit card.
⑤ Method of response: As a rule, the Company will respond to the email address used for the application.
⑥ Verification of authority of agent: The Company will respond only when it can confirm the agency relationship based on the documents described in ③ above.
12. Response to Consultations and Complaints
The Company will respond appropriately and promptly to consultations and complaints regarding all of its operations. If you have a consultation or complaint, please contact the point of contact listed at the end of this Policy.
The Company may also consult with external businesses or specialists, as necessary and with the individual's consent.
13. Disclaimer
The Company shall not be liable for leakage, loss, or damage of users' personal information in the following cases:
1. When personal information is disclosed or leaked to a third party due to reasons attributable to the user
2. When the user failed to properly manage information required to log in to the Services (such as IDs and passwords)
3. When a third party improperly acquires the user's personal information due to reasons not attributable to the Company
4. When the user uses the Services in violation of this Policy or the terms of use
However, this does not apply in cases caused by the Company's intentional misconduct or gross negligence.
14. Changes to the Privacy Policy
The content of this Policy may be changed as necessary, except where otherwise provided by law or this Policy. The revised Privacy Policy will be posted on this website, and important changes will be separately notified to users. Unless otherwise specified, the revised Policy becomes effective when posted on this website.
